What it does

Aircall is a cloud phone system that runs over the internet. It handles calls, SMS and MMS and WhatsApp messaging, and it has a shared inbox, call routing and queuing, call recording and monitoring, global numbers and analytics. On top of that sits an AI layer with transcription, sentiment analysis, coaching scorecards, in-call guidance and AI voice agents.

Its main idea is that the phone lives inside the tools your team already uses, so every call is tied to a customer record.

Why you would need it

With a normal phone line, the conversation disappears. A rep calls a prospect from a mobile, nothing lands in the CRM, and the next person has no idea what was said. Support cannot see that the customer already phoned sales yesterday.

Aircall logs the call, the recording and the notes against the contact. Managers can review calls, coach reps and measure response times without asking anyone to type up a summary.

Where it fits

It sits between your customers and your CRM or helpdesk. The vendor lists integrations with HubSpot, Salesforce, Zoho, Pipedrive, Zendesk, Intercom, Help Scout, Gorgias and many more, over two hundred and fifty native integrations in all. It replaces a desk phone system and mobile numbers used for work.

My take

I would choose Aircall when calls are a core part of sales or support and your CRM is the source of truth. The value comes from the connection, not from the phone itself.

I would be careful if you only make a few calls a week, because a simpler line costs less effort. Also check call quality and number coverage for the countries you call, and check the minimum of three users.

Verdict

Pick it when a team of three or more lives on the phone and you want every call in the CRM. Skip it when calls are rare, or when your CRM has its own phone feature that already does the job.

The AI voice agents are sold separately from the main plans, and some intelligence features sit on higher plans. Ask exactly what is included in the plan you are considering, and whether recording storage or transcription has limits.
