Pipedrive
Why Pipedrive
Pipedrive is a sales-focused CRM built around a visual pipeline where deals appear as cards to drag through stages. Its simplicity means sales teams actually use it for contact management, email tracking and reporting rather than avoiding the tool. Best for lean B2B teams who want quick setup over heavy configuration.
What it does
Pipedrive is a sales CRM built around a visual pipeline. Deals are cards that you drag through stages. Around that sit contacts and organisations, activities, email sync and tracking, reporting, lead management and sales automation. It also has a mobile app.
Newer additions include an AI layer, a meeting intelligence feature called Nova that the vendor includes in all plans, and an official MCP server. Plans are priced per seat, and there is no permanent free plan, only a free trial.
Why you would need it
You need a CRM like this when deals live in spreadsheets and inboxes, and nobody can say what the next step is on each one. A pipeline view fixes that quickly. You see every deal, its stage and the next planned activity.
A heavy CRM often fails for a simple reason. Reps do not want to log in. Pipedrive's design works against that, because the interface is clean and the pipeline makes sense at a glance.
Where it fits
Pipedrive is the system of record for your sales pipeline. Leads come in from forms, ads and outreach tools. It feeds your quotes, invoices, reporting and automations. The vendor says its marketplace has more than 500 integrations, including Zapier and Trello.
It replaces the spreadsheet pipeline. It does not replace a marketing platform. If you also need email marketing and service in one database, compare HubSpot.
What stands out
- A pipeline anyone understands. Drag and drop deals through stages, with a next activity on each one.
- An open API. A documented REST API, including webhooks, makes custom integrations realistic.
- An official MCP server. It is available on every plan and works through OAuth with ChatGPT and Claude, within plan token limits.
- Add-ons when you need them. LeadBooster, Campaigns, Projects, Web visitors and Smart Docs are sold separately.
My take
My previous company was a Pipedrive premium agency, so I have seen it at dozens of businesses. These days I work more with HubSpot, because it suits scaling marketing and sales together. For a pure sales CRM, Pipedrive is still one of my favourites.
I like its activity-based way of selling. It nudges you to always have a next action planned, and I like that it focuses on the activities you control, such as calls and follow-ups. I have worked on projects that connected Pipedrive to other systems through its API, and I found it reliable.
The limits show up with automation and reporting. As operations grew, we wanted more automation than the basics and extended Pipedrive with integrations or custom API work. For cross-channel attribution we exported data to what was then called Google Data Studio, now Looker Studio.
Verdict
Pick Pipedrive when your core need is a sales pipeline that a lean team will really use, and you are happy to add other tools around it. Skip it if you want marketing, sales and service on one platform, or if you expect heavy automation and attribution inside the CRM.

Notes
Your note
Before you choose
Sales first, marketing second
Pipedrive was designed for pipeline management. It has an email marketing add-on called Campaigns, but it is no match for a dedicated marketing platform. If newsletters, nurturing and attribution matter, plan to add a tool or choose HubSpot.

Automation depends on the plan
Automations and email sequences arrive on the Growth plan. Lead routing, scoring, contracts and e-signatures sit higher, on Premium. Check which plan holds the features you need before you count seats.
Add-ons raise the total cost
LeadBooster, Campaigns, Projects, Web visitors and Smart Docs are paid extras, and pricing is per seat. Add the extras you expect to need and multiply by your seat count. There is no permanent free plan, only a 14 day trial.
Reporting stays focused on sales
Built-in reports cover conversion, cycle length, forecasts and rep performance well. Blending sales data with marketing metrics or lifetime value usually means exporting to a BI tool.
Alternatives to compare
Look at HubSpot for one database across marketing, sales and service, Close for call-heavy teams, Attio for a flexible data model, Freshsales and Zoho CRM for suite pricing, and Salesforce for heavy customisation.
