What it does

Xero is cloud accounting software. You connect your bank, and transactions come in for reconciliation. You send invoices and quotes, enter and pay bills, track sales tax, and run real-time reports. Smart Document Capture reads bills and receipts so you type less.

Plans step up in features. Early covers the basics with limits on invoices and bills. Growing removes those limits and adds performance dashboards and a longer cash flow forecast. Established adds multiple currencies, KPI analysis, project time tracking and employee expense claims. Payroll through Gusto and inventory are optional add-ons on the US site.

Why you would need it

The pain shows up when your books are late. Invoices go out when you remember, bank transactions pile up, and your accountant asks for exports. You cannot answer simple questions such as who owes you money or how long your cash will last.

With Xero, reconciliation and reports stay close to real time. You see unpaid invoices, upcoming bills and a cash flow forecast, and your accountant works in the same books.

Where it fits

Xero sits at the finance end of your stack. Sales and payment tools feed it with invoices and payments, and your accountant and tax filing use its output. The vendor offers a partner programme with a large network of accountants and bookkeepers, which is a reason many advisers know it.

It replaces spreadsheets and simpler invoicing tools. It competes with QuickBooks and, in the Netherlands, with Moneybird and Exact Online.

What stands out

  • No per-user licence fees. The vendor lists this as included, so adding people does not raise the price.
  • Free expert setup help is listed as included on the plans page.
  • An API with webhooks and an official MCP server for connecting apps and AI assistants.
  • Accountant network. The vendor says more than 250,000 accountants and bookkeepers are in its partner programme.

My take

I'd pick Xero when your accountant uses it or recommends it, and when you want to add several people without paying per seat. The step-up between plans is easy to understand, because limits on invoices and bills are the main difference between Early and Growing.

What I'd watch is local fit. Pricing and features differ by country, and the US pricing page shows a US-focused feature set with W-9 and 1099 management. Check your local site for VAT, bank connections and e-invoicing before you commit.

Verdict

Pick it when you want accounting with shared access for your accountant and room for more users. Skip it when a local tool offers better support for your country's tax filing, which is often true in the Netherlands.

Country and tax fit

Xero's plans, prices and features depend on the country site. Plans, prices and features on the US site may differ from your country's site. A Dutch company should check local VAT handling, bank feeds and e-invoicing support, and whether Xero has a local presence. If it does not, local options such as Moneybird or Exact Online may fit better.

Promotions versus regular price

Xero shows a steep discount for the first months, and a regular price afterwards. Budget with the regular price, and decide in advance when you will review the plan.

Add-ons and alternatives

Payroll, inventory and some features are add-ons, so total cost can be higher than the plan price. Compare with QuickBooks, Moneybird and Exact Online, and ask your accountant which they prefer.
