CallRail

Assigns unique phone numbers to campaigns so inbound calls can be attributed to their original marketing source.

Why CallRail

Tracking inbound calls to unique numbers reveals which campaigns drive calls, not just form submissions. Marketers and agencies use it to record, transcribe and score conversations, then push call data into Google Ads and HubSpot for attribution. It's built for service-based businesses, local shops and agencies where phone calls drive real revenue.

Best for
Marketers and agencies for service businesses and local shops where phone calls bring in revenue and the source of each call has to be traced.

What it does

CallRail is a call tracking and lead tracking platform. It gives your campaigns, channels and web pages their own phone numbers, so each inbound call can be traced back to where it came from. It also tracks form submissions and texts.

On top of tracking it records and transcribes calls, and its conversation intelligence picks out intent and buying signals. It also offers an AI voice assistant that answers calls around the clock, qualifies the lead and books appointments.

Why you would need it

Your ad platform tells you who clicked. It does not tell you who then picked up the phone. If a good share of your leads call, you are judging your campaigns on half the picture, and you may be cutting the keywords that actually make the phone ring.

The moment you feel it is when someone asks which campaign produced last month's calls and the honest answer is "we do not know". CallRail answers that question with a source for each call.

Where it fits

CallRail sits between your marketing and your sales follow-up. Ads, landing pages and your Google Business Profile feed it calls. It feeds the results back to Google Ads, Meta, Microsoft Ads, Google Analytics and your CRM. It lists integrations with Salesforce and HubSpot, plus Slack and Zapier.

It replaces a single shared phone number and a spreadsheet of guesses. It does not replace your CRM or your phone system.

What stands out

  • Dynamic number insertion, which shows each visitor a number based on their traffic source.
  • Call recording and transcription, so you can listen to what leads actually asked.
  • Conversation intelligence that flags intent and buying signals.
  • An official MCP server, so an AI assistant can query your call data.

My take

This is a tool you buy because phone calls are real revenue. For trades, clinics, legal firms, home services and the agencies that serve them, I would say it is close to a must. For a self-serve software company where nobody calls, it is not needed.

What I would watch is configuration. Call recording brings consent rules that differ by country, and the dynamic number setup has to be done properly or attribution gets muddy. Treat the call scoring as a guide, not a verdict.

Verdict

Pick CallRail if calls drive your leads and you spend money on ads. Skip it if your funnel is forms and checkout with no phone step.

Before you choose

Recording and consent

Recording calls is regulated and the rules differ by country and sometimes by state. You must tell callers they are recorded where the law requires it. Set up the announcements and retention before you switch on recording, and ask your legal adviser if you work in a regulated field.

Plans and what they include

CallRail sells several plans, from lead tracking to lead conversion and an AI voice assistant, and there is no free plan. Check which plan includes conversation intelligence and the AI assistant before you start the trial.

Numbers and call volume

Tracking works by assigning numbers, so a large site or many campaigns needs many numbers. Count how many sources you want to separate before you buy. Low call volume makes the cost hard to justify.

Alternatives

Other call tracking tools exist, so compare them on integrations, local number coverage and your regions. For a HubSpot team, check what HubSpot calling already gives you before you add another system.
