Why Proposify

Proposify is proposal software for building, sending, tracking and electronically signing sales proposals and quotes. It adds a drag-and-drop editor, content libraries, approval workflows and CRM integrations so reps send the right terms. It suits sales teams in professional services, agencies, consultancies and trade businesses such as construction, particularly sales leaders who want control over what reps send.

Best for
Sales teams in agencies, consultancies and trade businesses that send many proposals and quotes and need approved content, pricing control and e-signatures connected to their CRM.

What it does

Proposify is proposal software. You build proposals and quotes in a drag-and-drop editor from branded templates, send them, see what the buyer reads, and collect signatures, all in one place. A content library holds approved sections, a pricing catalogue holds products and prices, and custom fields pull data from your CRM.

Higher plans add integrations, automations, approval workflows based on deal terms, and roles.

Why you would need it

You feel the pain when proposals are Word documents. Reps copy an old file, change a name, forget to update a price, and send terms that nobody approved. Then you chase the buyer by email, with no idea whether they opened it.

A system with locked, approved content and live data from your CRM removes the typo risk and the approval bottleneck. Tracking tells you when to follow up and which section the buyer stopped reading.

Where it fits

Proposify sits between your CRM and the signed deal. The CRM provides deal data. Proposify produces the document and the signature. The vendor lists integrations with HubSpot, Salesforce, Pipedrive, Close, Gong, Slack and Stripe, and with Zapier.

It replaces the word processor, a separate e-signing step and manual checks on pricing and discounts. For other proposal tools, compare PandaDoc, Qwilr and Better Proposals.

What stands out

  • A content library. Reps assemble proposals from approved sections instead of copying old files.
  • Section-level tracking. You can see how the buyer engaged with the document.
  • CRM data in the document. Custom fields pull in deal details, so names and prices match.
  • Approvals. On the Business plan, deal terms can trigger an approval before a document is sent.

My take

Proposify is for sales leaders who care about what goes out of the door. If you have five reps sending proposals, the value is in control: consistent branding, right prices, and a record of what each buyer saw.

The trade-off is how the plans are structured. Each plan has monthly send limits, integrations start higher up, and approvals and roles sit on the Business plan. A solo founder sending a handful of proposals will find the entry plan tight. I would count how many proposals you send each month before choosing a plan.

Verdict

Pick Proposify when you run a sales team that sends many proposals and needs approved content, pricing control and CRM links. Skip it if you are a solo seller with a few proposals, where a lighter, cheaper tool such as Prospero will do.

Before you choose

Send limits shape your real cost

Each plan includes a number of sends, and extra sends are charged. Count your proposals before you choose.

Integrations and approvals are on higher plans

CRM integrations and automations begin on the Team plan, and approvals, roles and SSO come with Business. Salesforce and some other integrations cost extra. Check your CRM first.

Per-seat pricing grows with the team

The Basic and Team plans are priced per user, and the Business plan is priced as a package. Model the whole sales team, not one rep.
