RingCentral
Why RingCentral
RingCentral is a cloud communications platform that combines a business phone system, team messaging, video meetings and SMS in one app. Its RingEX plans add AI features, CRM integrations and reporting, and it publishes APIs and MCP servers for developers. It suits growing teams that replace a physical phone system or want calls logged in their CRM.
What it does
RingCentral is a cloud communications platform. Its main product, RingEX, gives every user a business phone number and an app for calls, team chat, video meetings and SMS on desktop and mobile. It includes unlimited domestic calling in the US and Canada, on-demand call recording and HD meetings with up to 300 participants.
AI sits on top. The AI Virtual Assistant is included in the plans, the AI Receptionist that answers and routes calls is an add-on, and conversation intelligence products analyse calls for coaching and scoring. Higher plans add CRM integrations, support for multiple sites and reporting.
Why you would need it
The pain shows up when a business phone system is a box in the office, a few mobile numbers or a patchwork of apps. Calls are lost when someone is out, nobody can see call history, and sales conversations never reach the CRM.
A cloud system fixes the basics. A number follows the person, calls and texts are logged, and managers can see volumes and missed calls. New hires get a line in minutes instead of a week.
Where it fits
RingCentral sits at the customer conversation layer. Phone numbers, customers and campaigns feed it. It feeds your CRM with call logs and your coaching tools with recordings and transcripts. The vendor lists integrations with Salesforce, HubSpot, Zendesk and ServiceNow, and a Microsoft Teams calling option.
It replaces a traditional phone system, standalone SMS tools and often a separate meeting tool. For sales-focused calling it competes with Quo, Aircall and Freshcaller.
What stands out
- Breadth in one app. Calls, chat, video, fax and SMS share one directory and one admin.
- Integration count. The vendor lists more than 330 integrations across more than 200 companies, plus APIs for voice, SMS and MMS, team messaging, video and fax.
- AI options. An included assistant, a receptionist add-on and conversation intelligence products.
- MCP support. The Core plan lists LLM plugins and MCP connectors, and the vendor documents MCP servers for phone, chat, admin and App Connect.
My take
I'd pick RingCentral when you need a proper phone system for a team, with several users, locations and an admin who wants control. The plan ladder is clear, and the CRM integrations are the main reason to move up from Core.
What I'd watch is the total cost. Add-ons, regional fees, SMS registration and hardware can change the picture, and the price depends on how many users you have. For a small sales team that only needs outbound calling and call logging, a lighter tool may do the job.
Verdict
Pick it when you want a full cloud phone system with SMS, meetings and CRM links. Skip it when you are a very small team that only needs a calling dialer, where a lighter tool is cheaper and simpler.

Before you choose
Pricing depends on team size
The pricing page shows plans per user, with different views for small teams, mid-size teams and larger teams, and contact sales for the largest. The AI customer engagement bundles are priced through sales. Ask for a full quote with add-ons before you compare it with other tools.

Limits that can surprise you
Unlimited calling is for the US and Canada only. Other international calls are charged by rate, and toll-free minutes and SMS allowances are capped per plan. Business SMS needs carrier registration in the US, and extra fees can apply. Phone rental needs a multi-year contract.
Plan features
CRM integrations, multiple sites and core reporting start on the Advanced plan, while analytics and the more complete AI products sit on higher bundles. Decide which features you need on day one.
Alternatives to compare
Quo and Aircall focus on sales and support calling. Freshcaller is a cloud call centre option. Microsoft Teams can add calling if you already use it.
