What it is
An AI summary turns a recording, transcript or long document into a few lines of what was said and decided. Action items are the tasks that came out of it, often with a name attached, such as "Send the quote by Friday". Fathom, Fireflies.ai, Otter.ai and Zoom AI Companion are examples that do this for meetings, while Notion AI and Confluence apply it to written pages.
Why it matters
People forget what was agreed within days, and writing minutes takes time nobody wants to spend. A summary gives everyone the same record and makes follow-up easier. It matters most for teams with many meetings, client calls and handovers. It matters less if you rarely meet, or if the subject is so sensitive that recording or sending text to an AI service is not allowed. AI summaries can also miss nuance or get a name wrong, so a quick read is still needed.
What to check
- Does it assign action items to named people and push them to your task tool?
- Where is the transcript stored, and is it used to train the vendor's models?
- Does it cope with accents, several languages and poor audio?
- Can you edit the summary before it is shared?
