Records and transcribes video calls across major platforms, then automatically generates summaries and action items.

Why Fathom

Fathom is an AI meeting assistant that records, transcribes, and summarises video calls on Zoom, Google Meet, and Microsoft Teams. It automatically extracts action items and provides structured summaries so you can focus on the conversation. The tool offers unlimited recording on the free tier with CRM syncing on paid plans.

Best for
Founders and small sales or customer success teams who spend the day on video calls and want transcripts, summaries and action items written for them, pushed to the CRM.

What it does

Fathom is an AI meeting assistant. It joins your calls on Zoom, Google Meet and Microsoft Teams, records and transcribes them, then writes a summary with action items. You get a searchable transcript, highlights you can clip, and a recap you can share.

It also has Ask Fathom for questions across past conversations, AI scorecards for coaching, real-time alerts on chosen topics, and an option to capture notes without a meeting bot.

Why you would need it

Taking notes while you talk means you do neither well. You feel the pain after the third call of the day, when you cannot remember what the first prospect asked for. Or a customer says you promised something and nobody wrote it down.

A notetaker gives you the record and the follow-up list without effort. You stay in the conversation.

Where it fits

It sits on top of your calendar and meeting tool, and feeds your CRM and chat. The vendor lists Salesforce, HubSpot, Slack, Asana and Notion, plus Zapier, ChatGPT and Claude.

It replaces manual notes and the copy and paste of summaries into the CRM. It does not replace your CRM, and it will not decide what to do next.

What stands out

  • A free plan, so you can judge the summaries on your own calls before paying.
  • Summaries and action items that are structured, not a wall of transcript.
  • A bot-free capture option for people who dislike a visible bot in the room.
  • A public API and an official hosted MCP server.

How I would roll it out

Start with one person on the free plan. After a week, compare the summaries with your own memory of the calls. If they hold up, connect the CRM so notes land on the right contact without copy and paste.

Then agree a rule for what goes in the CRM. A short summary and the next step are usually enough. A full transcript on every deal record makes the record harder to read, not easier.

My take

I'd pick it when you run discovery, sales or client calls all week and your team writes CRM notes by hand. Try the free plan on real calls for a week and read the summaries critically.

What I'd watch is consent and data handling. A recording assistant puts your conversations through a third party. Tell people on the call, and check your clients' rules on recording before it joins their meetings. Summary quality also follows audio quality, so read the action items before you trust them.

Verdict

Pick it when meetings are a large part of your week and notes are a chore. Skip it when your calls are mostly internal and informal, or when a client forbids recording.

Before you choose

Consent and client rules

Some clients and some industries do not allow third-party recording. Ask before the first call, and keep a short note of who agreed. The bot-free option helps with the feel of the room, but it does not replace consent.

Which features sit on which plan

Fathom has a free plan, a Premium plan for individuals, and Team and Business plans priced per user, with Enterprise on top. The vendor says a free trial exists on paid plans without giving the length. Check which plan has CRM sync and scorecards before you roll it out.

Summary quality needs a human glance

A rambling call gives a rambling recap. Read action items before they go to a customer.

Alternatives to compare

Fireflies.ai, Otter.ai, Read AI, tl;dv and Avoma are close. Gong goes deeper on sales conversations. Granola takes notes without joining as a bot.
