Avoma
Why Avoma
Avoma records sales calls, writes meeting notes and syncs data to your CRM automatically. It combines AI note-taking with conversation intelligence, forecasting and coaching capabilities. Sales, customer success and revenue operations teams use it to extract insight from every call and stay aligned on pipeline.
What it does
Avoma records, transcribes and summarises your meetings, then writes the notes and follow-up emails for you. The vendor says it transcribes in more than 75 languages. It also offers one-to-one and group scheduling pages with lead routing, and it updates your CRM fields from what was said on the call.
Coaching, call scoring, deal risk alerts and forecasting come as add-ons.
Why you would need it
You feel the pain after the fifth call of the day. Notes are half written, the CRM is not updated, follow-ups go out late and nobody remembers what the prospect said about budget. The next person who picks up the deal starts from nothing.
Avoma takes that admin off your reps. The notes and CRM fields fill themselves, so the data in your pipeline matches what was said.
Where it fits
It joins your video calls, your dialler and your CRM. The vendor names Zoom, Google Meet, Microsoft Teams, GoToMeeting, Salesforce, HubSpot, Pipedrive, Copper, Zendesk Sell, Zoho CRM, Aircall, Dialpad, RingCentral, Zoom Phone, Outreach, Groove, Slack and ClickUp.
It can replace a separate note taker, a scheduling tool and a call coaching tool. It does not replace your CRM.
What stands out
- Meeting notes with custom templates, AI follow-up emails and automatic CRM updates, including custom fields for frameworks such as MEDDIC and SPICED.
- Scheduling and lead routing in the same product.
- Free seats for people who only watch or comment.
- A wide list of named integrations, plus an API and an official MCP server.
My take
The base product solves a real problem, and I like that you can start with notes and add coaching or forecasting once the team is ready. That fits how teams grow.
The catch is price creep. Coaching and forecasting are paid add-ons per seat, so the real cost per rep can be much higher than the base plan suggests. I would pick Avoma when CRM hygiene and notes are the problem, and when the team is large enough to use coaching. If you only need a note taker, a simpler tool such as Fireflies.ai or Fathom may be enough.
Verdict
Pick Avoma if you want notes, scheduling and CRM updates now, with coaching and forecasting available later. Skip it if you only need a recorder, or if you will not use the add-ons.

Before you choose
Add-ons set the real price
Conversation intelligence, revenue intelligence and the lead router are paid add-ons. Decide which you need before you compare quotes, because they change the cost per seat. The lower plans also have seat caps.

Plan limits on security
SSO and data retention controls sit on the Enterprise plan. If your security team needs them, you are not choosing between plans on price alone.
Recording consent
Recording calls needs consent in many countries. Check the rules where your buyers are, and set up the bot's join message and your own policy before you roll it out to the team.
Alternatives to compare
For recording and notes, look at Fireflies.ai, Fathom and Otter.ai. If you are weighing a larger conversation intelligence product, add Gong to the list.
