What it does

Document360 is knowledge base software. You write articles in one portal, and customers or staff read them on a separate, searchable site. It handles help centres, internal wikis, software documentation, standard operating procedures, user manuals and API documentation.

On top of that sit AI features: conversational search that cites its sources, a chatbot that answers from your articles, and an AI writing agent that drafts content from videos and files.

Why you would need it

Answers live in too many places: old tickets, a shared drive, someone's head. Support answers the same question again and again, and new hires ask the same questions in Slack.

You feel the pain when the same question arrives for the tenth time. A knowledge base with search, and a chatbot grounded in it, lets people answer themselves.

Where it fits

It sits beside your helpdesk and your product. The vendor lists more than 60 connectors, including Slack, Intercom, Zendesk, Salesforce, GitHub, Freshdesk, Microsoft Teams and Google Analytics. Articles feed the support tool and the chatbot, and the support tool tells you what is missing.

It replaces a messy wiki or shared folder of help articles. It does not replace your helpdesk.

The AI features in practice

AI search is only as good as the articles behind it. If your articles are thin or out of date, a chatbot that answers from them will repeat those gaps with more confidence. Plan to write and clean up the content first, then switch on the chatbot.

The writing agent can draft from videos and files, which helps when the knowledge sits in recordings of product walkthroughs. Treat the output as a first draft that someone with product knowledge reviews before it is published.

My take

I'd pick it when documentation is a real function in your company and you have more than one writer. The workflow and permission features matter at that size.

For a five-person team with twenty articles it is more than you need. A page in Notion or the help centre inside your helpdesk will do. Pricing is quote-based, which tells me the vendor expects a sales conversation. Be ready for that.

Verdict

Pick it when you need a governed, AI-assisted knowledge base for customers or staff. Skip it when you want a price today, or when a wiki page would do.

Migration effort

If you already have hundreds of articles in another tool, plan the move. The product supports PDF import and export, but you will still want to review structure, links and categories.

Alternatives to compare
