Prospero

Lets freelancers and small service businesses create, send, sign and track client proposals from templates.

Why Prospero

Prospero is online software for creating, sending, signing and tracking business proposals from templates, saving time on formatting work. It is built for freelancers, consultants and small service businesses that send proposals and quotes to clients regularly. The platform includes analytics on how clients read each proposal.

Best for
Freelancers, consultants and small service businesses that send client proposals regularly and want templates, e-signatures and engagement tracking at a low cost, without a heavy sales platform.

What it does

Prospero is online proposal software. You pick one of its templates, edit it in a visual editor, send it, see when the client opens it and for how long, and collect an e-signature from any device. A content library stores sections and deliverables, a catalogue holds products and prices, and automated emails and reminders follow up.

An AI assistant can write and improve text and images. The vendor says there are over 100 templates, across many industries.

Why you would need it

You need it when proposals take days and look different every time. Many freelancers and small agencies write each one from scratch in a document editor, export a PDF and wait. They get no signal on whether the client read it.

Templates and a library cut the writing time. Tracking tells you when to follow up, and a signature on the same page removes the print, sign and scan step.

Where it fits

Prospero sits beside your accounting and payment tools rather than a big sales CRM. The vendor lists integrations with Stripe, QuickBooks, FreshBooks, Square, Slack, HubSpot, Pipedrive and Monday.com, and with Zapier and Make.

It replaces a document editor and a separate e-signing step. It is not a CRM or a contract management system.

What stands out

  • One plan with the features included. The pricing page shows a single paid plan with unlimited proposals.
  • Tracking. You see opens and time on page, with an email notification.
  • Client-friendly proposals. Clients can choose services, sign and pay from any device, and proposals can have an expiry date.
  • Accounting links. Integrations with accounting tools suit service businesses that invoice after signing.

My take

This is a practical tool for a specific person: a freelancer or small agency that wants tidy, trackable proposals without paying for a sales platform. A single plan keeps the choice easy.

The flip side is limited room to grow. The vendor describes the plan as built for individual freelancers, and the pricing page scales with team size. A sales team that runs deals from a CRM will want a tool with deeper CRM links and approval rules. I would check that the Zapier or Make route to your CRM does what you need.

Verdict

Pick Prospero when you are a freelancer or small agency who wants professional proposals, e-signatures and tracking at a low price. Skip it if you run a sales team with approval rules and a CRM-driven process, where Proposify is the more fitting step up.

Before you choose

A single plan limits growth

There is one published plan. It includes unlimited proposals and the AI assistant, but there is no tier with approvals or advanced permissions to grow into.

CRM links are thinner

The vendor lists HubSpot and Pipedrive integrations, and others go through Zapier or Make. Test the flow with your own CRM in the trial before you commit.

Pricing scales with team size

The price is per user, and the vendor says it scales with team size. If you have several people sending proposals, price the whole team.
