Motion
Why Motion
Motion is an AI-powered calendar and task management tool that automatically schedules work alongside your existing meetings. Designed for busy founders and small teams who want planning, projects and time tracking in one system rather than juggling separate tools. The tool rebuilds your schedule whenever meetings land or deadlines shift.
What it does
Motion is an AI-driven productivity app that combines a task manager, a calendar and a project manager. You enter tasks with deadlines, priorities and durations. Motion then builds a schedule around your meetings and rebuilds it whenever something changes.
Around that core it has an AI project manager that builds projects from a description, an AI meeting notetaker and assistant, docs, dashboards and workflows. It syncs with Google Calendar, Outlook and iCloud calendars, and works with Zoom, Google Meet and Microsoft Teams.
Why you would need it
A calendar full of meetings and a to-do list that lives somewhere else is the classic fight. The pain shows up when your deadlines slip because the time you thought you had was taken by a meeting, and you spend the first hour of each day replanning.
Motion plans the work into the free time and replans on its own. What changes is that your plan reflects reality, and you stop doing it by hand.
Where it fits
Motion sits on top of your calendars and email. Calendars, forwarded emails, meetings and messages feed it. It feeds your day plan and your project status. Motion says you can forward Gmail or Outlook emails to create tasks, and turn Zoom, Meet or Teams meetings and Slack messages into tasks.
It replaces a separate to-do app, a time-blocking routine and, for small teams, a project tool. It competes with Todoist, ClickUp and Notion Calendar, though none of them plan your day for you in the same way.
What stands out
- Automatic scheduling. Tasks get a slot based on priority, duration and deadline, and the plan updates when meetings land.
- Warnings when a task is at risk of missing its deadline, based on your workload.
- Meeting tools in the same product: booking links, notetaker and follow-ups.
- An API available to all users, and a native Zapier integration.
My take
I'd pick Motion if you are the person whose day is eaten by meetings, and you are willing to trust a tool with your calendar. The automatic planning is the whole reason to pay for it, and when it works it saves real effort.
What I'd watch is trust and fit. If you like to plan by hand, it will feel like losing control. If your work is mostly collaborative project management with many stakeholders, a dedicated project tool may serve you better. Test it for a few weeks with your real calendar before you move a team.
Verdict
Pick Motion if you want a tool that plans your tasks around your meetings and replans for you. Skip it if your calendar is quiet or you want full manual control. A simple task app will do.

Before you choose
No free plan
Motion has no free plan. It offers a free trial, and the plans are priced per seat, with AI credits per seat. Read what the AI credits cover, and check what happens when you run out.

You hand it your calendar
Motion needs access to your calendars and, if you use email forwarding, your inbox. Check your company policy, and test with a personal calendar first. A tool that moves your tasks around only works if you trust it.
Teams need agreement
Automatic scheduling works best when everyone enters honest durations and deadlines. If your team does not, the plan will not be reliable. Agree on how to estimate before you roll it out.
Compare the alternatives
Todoist is a simple task list. ClickUp and Asana are stronger on project management for teams. Notion Calendar is a calendar without the automatic planning. Pick on whether you want planning done for you.
