What it is
Document or source grounding means the AI answers using material you provide, such as PDFs, web pages, spreadsheets or a shared knowledge base, instead of relying only on what the model learned during training. A support agent, for example, could answer from your own help pages, and an assistant could summarise a contract you upload. Anthropic API, Botpress, ChatGPT, Claude, Dust, Gemini, Lindy, Microsoft Copilot Studio, NotebookLM, Perplexity, Relevance AI, Swoep and Zapier Agents are listed with this feature.
Why it matters
General models know a lot, but they know nothing about your prices, policies, clients or internal processes, and they sometimes produce confident answers that are wrong. Grounding the answer in your own documents reduces that risk and makes answers specific to your business. You need it for customer support, internal question and answer tools and research on private files. For brainstorming or drafting from scratch, it is unnecessary.
What to check
- Ask how many documents, which file types and how much total content can be added.
- Test with questions whose answers you know are in your files, and with some that are not, to see whether the tool admits it does not know.
- Check whether answers point back to the passage they came from so you can verify them.
- Find out how updated files are refreshed and who can see the uploaded material.
