What it is
Built-in automations are rules you set up in the tool itself, without a separate connector service. A rule has a trigger and an action, for example when a task is marked as done, move it to the next stage and notify the person who is waiting for it. Asana, ClickUp, Monday.com and Trello all include automations of this kind, though what they cover and how many you can run differ.
Why it matters
Teams lose time to repetitive updates, and manual steps get forgotten. Automations keep a project board accurate and reduce the chasing that goes with it. They matter once more than a few people share the same process, such as content approvals or client onboarding. For a one-person to-do list, they are rarely needed. Also note that plans often cap how many automations you can run each month.
What to check
- Ask what triggers and actions are available and whether they cover your real process.
- Check the monthly limit on automation runs for the plan you would buy.
- Test whether non-technical team members can create a rule without help.
- Ask whether rules can work across projects or only within a single board.
