Why Microsoft 365

Microsoft 365 is Microsoft's subscription suite for work. It bundles the Office apps Word, Excel and PowerPoint with Outlook email, Teams chat and meetings, and OneDrive cloud storage. The higher business plans add identity, device and email security controls. It is licensed per user and suits any business that wants one vendor for documents, email and collaboration.

A small or mid-size business that wants one licence for Office apps, business email, Teams and cloud storage, and is not tied to Google Workspace.

What it does

Microsoft 365 is the bundle most companies mean when they say Office. Business Basic gives web and mobile versions of Word, Excel, PowerPoint and Outlook, custom business email, Teams for chat and meetings, and 1 TB of cloud storage per user. The Standard and Premium plans add the desktop apps and Copilot, Microsoft's AI assistant inside the apps.

Premium adds security on top: policy-based identity and access management, device security and management, email threat protection, and discovery and protection of sensitive data. All business plans include extra apps such as Loop, Planner, Forms, Bookings and Clipchamp.

Why you would need it

You need it the moment a company has more than a few people and files, email and meetings are spread over personal accounts. Someone leaves, and their mailbox and documents leave with them. Nobody can say who has access to what.

Microsoft 365 puts people on company accounts with company email, shared storage and one admin console. That is the baseline for working together, and the security options matter once client data is involved.

Where it fits

It is the base layer of the stack. Email, calendar, documents, chat and storage live here, and almost every other tool connects to it. Your CRM, your e-signature tool and your project tool all read from or write to it.

It replaces separate email, storage and chat subscriptions. It is the main alternative to Google Workspace, which does the same job with Gmail and Google's own apps. It also includes Microsoft Teams and Microsoft Forms, which have their own pages.

What stands out

  • The depth of the desktop apps. Excel, Word and PowerPoint remain the formats clients and partners send you.
  • Security controls on the Premium plan, such as device management and sensitive data protection.
  • Copilot is built into the Standard and Premium plans and works across Word, Excel, PowerPoint, Outlook and Teams.
  • A large developer surface: Microsoft Graph for data access, and official MCP servers for mail, calendar and Copilot chat.

My take

I would pick it when your clients and partners already work in Office files, or when you need real device and identity control. It is the safe default for a business that wants everything from one vendor.

I would think twice if your team is small, lives in the browser and values simple admin. Google Workspace is lighter to run for that profile. Also check the plan names carefully, because Basic only has web and mobile apps.

Verdict

Pick Microsoft 365 if you want the standard Office apps, email, Teams and storage under one licence with room to grow into security. Skip it if a browser-first suite already works well for your team.

Before you choose

The plan you need depends on the apps

Business Basic includes only web and mobile versions of the Office apps. If your team works in desktop Excel or Word, you need Standard or Premium. Check this before you roll out Basic to everyone.

Business plans are sized for 300 users

Identity and access management on the business plans covers up to 300 users. A larger company looks at the enterprise plans, which are packaged differently.

Annual commitment and card at sign-up

The plans are priced per user and paid yearly, and the subscription renews automatically. The one-month trial needs a credit card, and it converts to a paid plan if you do not cancel. Put the cancel date in your calendar.

Admin takes a bit of work

Licences, groups, security policies and the admin centre are a real area of work. Someone has to own it, or the setup drifts. A small team can handle this, but should decide who it is.

Compare Google Workspace

If your team is browser-first and wants simpler admin, look at Google Workspace before you commit. The right choice often follows what your clients and partners use.
