What it is
Maximum attendees is the cap on how many people can be in a session together. Webinar tools set it per plan, and it can differ between a meeting-style event, where everyone can speak, and a presentation-style webinar, where attendees only watch. Some vendors offer larger caps as add-ons or on request. The number is a hard limit, so people over it are normally turned away or cannot join.
Why it matters
The attendee limit decides what size of audience a plan can serve and often what it costs. Choosing too low a cap means turning away people you worked to attract. Choosing far too high a cap means paying for capacity you will never use.
A useful rule is to look at your registration numbers rather than your hopes. Only a share of registered people attend live, and that share varies with the audience and the offer, so check your own history or run a small first event to see your rate. Plan for a comfortable margin above the biggest event you expect.
If you run small workshops or client demonstrations, a modest cap is plenty. If you run large launches or public events, the cap and how it can be raised matter a great deal.
What to check
- Does the limit apply to live attendees, registrants or both.
- Is the cap different for interactive sessions and view-only webinars.
- Can you increase it for a single event without changing the whole plan.
- What happens to people who try to join once the limit is reached.
