Secure sharing

The tool lets you share passwords and other sensitive items with colleagues or outsiders through controlled access instead of email or chat.

What it is

Secure sharing means passing a login, a document or a note to another person without exposing it in plain text. You can share with a team vault, with a named person, or with a link that expires. The recipient sees the item inside the tool, and you can withdraw access later. 1Password and LastPass both offer it.

Why it matters

Teams constantly need to share logins for shared accounts, such as the company social media or a supplier portal. Sending them through email or chat leaves a permanent copy in inboxes and archives. Controlled sharing keeps a record, lets you revoke access when a freelancer leaves, and avoids the same password living in ten places.

It matters for any team with shared accounts, contractors or frequent staff changes. A solo user rarely needs it.

What to check

  • Can you share with people outside the company, and do they need an account?
  • Can access be time limited or removed instantly?
  • Can you see who viewed or changed a shared item?
  • When a shared password is updated, does everyone get the new version automatically?
