Real-time co-editing

Several people can edit the same document at the same time and see each other's changes appear live, without overwriting one another.

What it is

Real-time co-editing means multiple people work in the same file together. You see their cursors and their words appear as they type, and nobody has to send versions back and forth. Google Docs made this familiar, and Notion offers it in its pages too.

Why it matters

Emailing files around creates copies named "final_v3_revised" and lost changes. Co-editing keeps a single current version, which speeds up review and drafting. It is especially helpful for meeting notes, proposals and plans that several people contribute to.

It matters less if one person writes alone and others only read. Be aware that live editing can also mean unfinished text is visible to everyone, so look at how permissions, comments and suggested edits work.

What to check

  • How many people can edit at once before performance suffers?
  • Is there a suggestion mode or comment feature, so reviewers do not change text directly?
  • Can you see who changed what and restore an earlier version?
  • Does it work smoothly with people outside your organisation, such as clients?
