What it is
Collective scheduling lets a visitor book one meeting with several people at once. You pick the team members who must attend, and the booking page shows only the times when all of them are free. When the visitor chooses a slot, everyone gets the invitation. Cal.com, Calendly, Chili Piper and SavvyCal are examples of tools that offer it.
Why it matters
Without it, setting up a call that needs a salesperson and a technical specialist means a chain of emails to find a time that suits both. Collective scheduling removes that effort and cuts the number of enquiries lost during the wait. It matters for demos, onboarding calls and any meeting where more than one of your people must be present. If your meetings always involve one person, you can skip it.
What to check
- Check how many hosts can be required at once, and whether a limit applies on your plan.
- Ask whether each host's calendar is read for conflicts, including personal calendars connected to the account.
- Test whether adding a host changes how many time slots appear, and whether buffers can be set.
- Find out how the meeting link is created and shared with all attendees.
