What it does

Calendly is a scheduling tool. You connect your calendar, define the meeting types you offer and share a link. People pick a time that works for both sides, and Calendly creates the event, adds the video link and sends reminders.

Beyond the basic link it offers routing forms that qualify a lead before booking, text and email reminders, payment collection at booking, an AI notetaker for meeting recaps, and an AI assistant called Callie that handles scheduling by email, which Calendly lists as beta.

Why you would need it

Every email asking "does Tuesday work?" is a small leak in your pipeline. A prospect who is ready to talk today will not wait three messages. A booking link turns that moment into a meeting on the calendar.

I have seen this matter most in busy periods, when you handle many calls a day and nobody has time to chase times. With a link, the diary fills itself.

Where it fits

Calendly sits between the places where people find you (your website, emails, LinkedIn messages) and your calendar and CRM. It is fed by your availability and feeds your video tool, your CRM and your follow-up. It replaces manual scheduling and, in a small team, the habit of sharing screenshots of your calendar.

Calendly lists more than 150 integrations including Zoom, Teams, Slack, Salesforce, HubSpot, Stripe, PayPal and Zapier. If you work in HubSpot, you can also compare it with its built-in meeting links.

What stands out

  • The routing forms, which ask qualifying questions and send each lead to the right person or page.
  • Round-robin and team scheduling for sales and support teams.
  • An official, hosted MCP server, so an AI assistant can find slots and create scheduling links for you.
  • Familiarity: most prospects have already used a Calendly link, so there is nothing to explain.

My take

Calendly is the safe default. It works, people know it and it connects to nearly everything. That is why I would not talk most teams out of it.

What I would watch is the plan. The free plan covers the basics, but things like several connected calendars, reporting and removing branding need a paid plan. Lead qualification also needs the routing forms, so check that it sits on the plan you buy.

Verdict

Pick Calendly if your team books many external meetings and you want something that works on day one. Skip it if you want to self-host or customise deeply, in which case look at Cal.com.

Before you choose

What the free plan leaves out

The free plan is fine for one person with simple needs. Advanced features, team scheduling and workflows sit on paid plans, and Calendly also sells Plus tiers that add the AI notetaker. Decide what you need in the first month and check it is on the plan you pick.

Qualification is a paid job

Calendly lets you ask questions on the booking page, and routing forms can send people to different calendars. It is not a lead scoring tool. If you need to decide whether a lead deserves a meeting at all, plan for rules in your CRM or a specialist tool such as Chili Piper.

Alternatives to compare

Cal.com is the open-source option and gives you more control. HubSpot's own meeting links keep the record inside your CRM if you already run HubSpot. Pick on workflow, not on brand.

Seats add up

Team plans are priced per seat. If only a few people book external calls, give seats to those people and let the rest use a shared link.
