What is Calendly?

Calendly is a scheduling tool that lets prospects and customers book meetings with you without email negotiation. You share a booking link that shows your available times (in their timezone), and they click to book. Calendly handles calendar sync, confirmations, reminders, and optionally video conference links.

How it fits into B2B growth

Scheduling friction kills conversions. Every 'Does Tuesday at 2pm work?' email is a chance for the prospect to lose interest or ghost. How to use Calendly effectively

Create purposeful booking pages: Instead of one generic link, create specific links for different purposes (demo_calls, support_requests, partnerships). This helps you understand where bookings come from and manage expectations.

Add qualification questions: Use the custom questions feature to pre-qualify leads. Ask company size, budget range, or specific needs. This filters out poor-fit opportunities early.

Set realistic availability: Don't overcommit. If you only have 5 hours weekly for meetings, set availability accordingly. Better to book fewer, focused meetings than many rushed ones.

Enable reminders: Automated reminders reduce no-shows significantly. No-shows waste your time; reminders prevent most of them.

Integrate with your CRM: Connect Calendly to HubSpot or Salesforce via Zapier so booking data automatically syncs to your prospects' records.

Free plan: One booking link, up to 1 meeting per week. Useful for getting started but quickly outgrown. Standard plan (GBP8/month): Unlimited bookings, multiple booking links, custom branding. Teams with multiple users need higher tiers.

Limitations to know

Calendly's calendar sync is one-way (from your calendar to Calendly, not the reverse). If you need bi-directional sync or complex workflows, look at Chili Piper or HubSpot's meeting links. For very small teams with infrequent bookings, Calendly might be overkill (basic calendar sharing could suffice).

How to automate Calendly

Native integrations

Calendly connects to Google Calendar, Outlook, Zoom, Microsoft Teams, Slack, Salesforce, HubSpot, Stripe, PayPal and Zapier. Start with your CRM: when someone books, the contact and the meeting should land on the right record without anyone typing it.

API and webhooks

Calendly has a public API (version 2) with developer documentation. Use it to read scheduled events, create one-time scheduling links or pull booking data into reports. For example, generate a single-use link inside your CRM and email it to a lead, so the slot cannot be reused.

MCP server

Calendly runs an official hosted MCP server at mcp.calendly.com. It signs in with OAuth and maps natural-language requests onto the API, such as listing event types, finding open slots, creating one-time links and managing events. A good first use: ask your assistant to find 30 minutes with a contact next Tuesday and send them a link.

No-code automation

Calendly is available in Zapier. A simple flow: a new booking creates a contact and a deal in your CRM, posts a message in Slack and starts an email sequence. A second flow: a cancellation moves the deal back to the previous stage.
