Pick Monday.com if you run work across several people and want a visual, configurable system. It suits cross-functional B2B and marketing teams that need to see who owns what, what is late and what is waiting on whom without asking five people.

It has a free plan for up to two seats, and paid plans add timeline and Gantt views, guest access and higher automation limits. It lists more than 850 integrations and apps, plus a GraphQL API and an MCP integration for AI agents.

From my own use on marketing projects, the interface needed little explanation, though advanced automations took some digging. Skip it for a simple to-do list.

Choose Notion AI if…

Pick Notion AI if Notion is already where your team writes docs, runs projects and records decisions. AI Meeting Notes work without a bot joining the call, and notes land next to the project they belong to. Custom Agents are set up once and the whole team benefits.

You need to be on, or willing to move to, the Business plan, and heavier agent use is metered in credits. Watch the usage dashboard from the first week.

An agent is only as good as the pages it can read, so a tidy workspace gives good results and a messy one gives confident answers from stale pages. Skip it if the team does not use Notion for the rest of its work. Then a dedicated meeting notes tool is simpler.
