For a small B2B team that mainly needs a handful of marketing and sales dashboards, I'd pick Databox. It is the lighter route, with templates, alerts and client sharing, and you do not need an analyst to keep it going.

If your data is messy, the questions keep changing and a team of analysts will own the model, pick Tableau. It is strong at exploration and governed reporting, and the free desktop edition is a fair way to learn it.

If nobody has time to maintain a data model, Tableau will get in the way. If you need deep historical analysis, Databox is limited. Count users by role before you price Tableau, because the mix of Creator, Explorer and Viewer licences changes the total a lot.

Pick Databox if you are an agency or an in-house marketing, sales or operations team using three or more platforms. A client or team dashboard replaces a weekly slide deck, and goals, forecasts and alerts sit next to the metrics.

It has pre-built integrations for many tools, API access for custom data, an official MCP server and SOC 2 certification. The free plan is small, with one user and three data sources, so real use usually needs a paid plan. A 14-day trial needs no card.

Plan time for the first build. Each source needs authenticating, and some integrations need more technical know-how than you would expect. Skip it if you want deep analysis or a data warehouse.

Choose Tableau if…

Pick Tableau if you are a data, finance or operations team that has outgrown spreadsheets. You connect several sources, define the logic once and let people filter and drill down instead of asking an analyst.

Choose the deployment early. Cloud is hosted, Server is self-managed and gives control over where data lives, and Tableau Next is aimed at Salesforce CRM users. Tableau Pulse and Tableau Agent add AI insights and conversational questions. There is an official MCP server and a REST API.

It needs an owner. Without someone looking after data sources, naming and refresh schedules, you end up with many dashboards that disagree. Licences are per user by role and billed annually, and every deployment needs at least one Creator.
