Chargebee is a billing and revenue platform for subscription businesses. It holds your product catalogue and pricing, runs the subscriptions, sends invoices, collects payments through your own payment gateways and recognises revenue. It supports tiered, volume, stairstep, usage-based and flat-fee models.

It is sold as several products: billing, a quoting tool (CPQ) for complex deals, revenue recognition, and a growth product aimed at retention. Each is priced separately.

Why you would need it

A payment processor can charge a card every month. That is where it stops. The moment you offer annual plans, upgrades mid-term, usage charges, credits, discounts or quotes for larger customers, billing turns into logic. Without a system it lives in spreadsheets and in someone's head.

The pain is felt when finance closes the month by hand, when a price change needs a developer, or when failed payments quietly turn into lost customers.

Where it fits

Chargebee sits between your payment gateways and your finance systems. Your product and your CRM tell it who bought what. It tells your accounting and reporting tools what was billed and recognised. It lists integrations with HubSpot, Salesforce, QuickBooks Online, Xero, NetSuite, Avalara and Zapier.

It replaces the basic billing features of a payment processor. You keep your own gateway, which means Chargebee is not the merchant of record, so tax and compliance stay with you apart from the tax automation it connects to.

My take

Chargebee earns its place when pricing is part of your strategy: usage, credits, several plans, custom enterprise terms. In that situation it saves a team from building billing in-house, which is a poor use of engineering time.

What I would watch is the shape of the product. Because it is split into modules, scope creeps and the bill follows. Start with billing, add the rest only when you feel the need.

Verdict

Pick Chargebee if you run subscriptions with complex or changing pricing and you want to keep your payment gateway. Skip it if you have a handful of flat plans, where Stripe Billing or a simpler tool will do.

You keep the gateway and the compliance

Chargebee connects to your payment gateways. It is not a merchant of record, so you remain responsible for how you collect and for local rules. If you want someone else to carry sales tax and compliance, look at Paddle or Lemon Squeezy.

Percentage-based fees

Some plans carry a fee that scales with invoiced volume. Check how that behaves at your expected volume and watch the number as you grow. Model it before you sign.

Alternatives to compare

Stripe Billing and Recurly are the obvious comparisons. Check them on your pricing model, your gateways and your accounting setup, not on a feature list. If you run a Dutch company, confirm that your accounting package, such as Exact Online or Moneybird, has a workable route from Chargebee.
