Stop the nurture emails the moment someone books
Start with the exit rule, because it is the one most teams forget. A person who has booked a call should leave your nurture sequence at once. Nothing is more awkward than a "Ready to talk?" email arriving an hour after they said yes.
In HubSpot, ActiveCampaign or any similar tool, add a goal or exit condition to the nurture workflow: meeting booked, or deal created. Then move the contact into the post-booking flow. If your booking tool and your email tool are separate, connect them with Zapier or Make so the booking triggers the change. Send the confirmation within a minute
The booking tool, such as Calendly or Cal.com, usually sends a plain confirmation. Keep it, but send your own as well, from a real person's name, within a minute of the booking. It should contain:
- The date, time and time zone, written out in words as well as in the calendar invite.
- The meeting link or the address.
- Who they are meeting and one line on why that person.
- What happens in the meeting, in two sentences.
- A link to reschedule, placed where it is easy to find.
Make the reschedule link obvious. A person who cannot come and has no easy way to move the slot will simply not turn up.
Add one preparation step for the prospect
A prospect who prepares is a prospect who is already invested. Ask for one small thing, not a form with ten fields. Two questions work well: "What prompted you to book this?" and "What would make the call useful for you?" Put them in the email and invite a one-line reply, or use a short Typeform.
Their answers are worth more to you than the extra reminder. Paste them into the CRM record before the call, and open the meeting with them. It shows the person that the booking led to something real.
Set the reminders by how far away the meeting is
Do not use one fixed schedule. Check the gap between booking and meeting and branch on it:
- More than three days away: confirmation now, a value email two days before, a reminder 24 hours before and one an hour before.
- Between one and three days away: confirmation now, a reminder the day before and one an hour before.
- Less than 24 hours away: confirmation now and one reminder an hour before. Nothing else.
Keep each reminder short, with the time, the link and the reschedule link repeated. The one-hour reminder matters most, so test sending it as a text message if you have the person's consent and a number.
Send something useful two days before
One email between confirmation and reminder should give the prospect a reason to look forward to the call. Send a single case study that matches their industry or problem, or a three-minute read that frames the conversation. Do not send a deck. Do not send five links.
Say why you are sending it: "This is how another team in your position handled it, and it is what I would like to talk through." One piece, one sentence of context.
Handle the no-show in the first fifteen minutes
Some people will still not show up. Send a message within fifteen minutes of the start time that is kind and has one job: "Looks like we missed each other. Here is a link to pick a new time." No guilt, no sales pitch.
If they do not rebook within a few days, move them into your Re-engagement sequence instead of leaving them in limbo.
Common mistakes
- Leaving the person in the nurture sequence after they book.
- Sending the confirmation only through the booking tool's default template, with no name and no context.
- Sending four reminders to someone who booked for tomorrow.
- Asking for a long questionnaire before a first call.
- Forgetting the time zone, so a booking from another country arrives an hour wrong.
- Skipping the no-show message because "they know they missed it".
How you know it works
Measure your show rate: meetings held divided by meetings booked. Write down the number before you change anything, then check it again after four weeks of the new flow. You should also see more replies to your preparation question and fewer reschedule requests that arrive after the meeting has started.
