Ties agency projects, time, budgets and profitability together in one place for managing client work.

Why Productive

Productive is agency management software that ties projects, time, budgets and profitability together. It brings the work an agency does for clients and the figures behind it into one place, so teams can manage delivery alongside what it earns. It is aimed at agencies that want project and financial management in a single tool rather than separate systems.

Best for
Agencies, consultancies and IT services firms that need projects, time tracking, resourcing, budgets and invoicing in one place so they can see profit per project and per client.

What it does

Productive is agency management software that ties projects, time, budgets and profit together. It covers resource planning, project management with Gantt charts, time tracking through timers, timesheets or AI suggestions, budgeting, invoicing, expense management, revenue forecasting and a scenario builder. It also has a CRM, an AI notetaker and a platform layer with agents, skills, reporting and automations.

It is priced per user.

Why you would need it

A services business sells time. You find out too late that a project burned through its budget, or that two people are booked on the same week, or that a profitable-looking client costs more than it earns. The numbers sit in separate tools, so nobody sees them together.

When time, budget and invoicing sit in one system, profit per project is a report you can open. That is the moment it pays for itself.

Where it fits

Productive is the operations and finance hub of a services firm. Deals and projects come in from your sales process. It connects to accounting tools such as QuickBooks and Xero, and to Slack and HubSpot, rather than replacing them. It feeds invoices, forecasts and capacity plans.

It replaces a mix of a separate time tracker, a project tool and a profitability spreadsheet. For European accounting, the vendor also lists Exact Online and Twinfield among its integrations.

What stands out

  • Profitability tied to time and budget. Dashboards show results by project or client.
  • Capacity and resourcing. You see who is booked and who has room.
  • An open API. Developer docs cover twelve domains, from projects and time to invoicing and CRM.
  • Accounting and HR integrations. The vendor lists accounting, HRIS and chat tools, as well as Zapier.

My take

This is a specialist tool, and that is its value. If you run an agency, consultancy or similar firm, the questions it answers are the ones you ask every week: are we profitable on this client, and who has capacity.

I would not buy it for a team that only needs a task tracker. The pricing page also shows that the price depends on team size and on which plan you take, so work through your own numbers. Start with the trial and a real project, and decide whether you need the advanced reporting and approvals from day one.

Verdict

Pick Productive when you run a professional services business and want projects, resourcing, invoicing and profitability connected. Skip it if you only need simple task tracking without financial reporting, or if your team is very small and a spreadsheet still works.

Before you choose

Plans split the finance features

The entry plan covers budgeting, resourcing, projects, time tracking and API access. The next plan adds HRIS and invoicing integrations, teams, rate cards and approvals. Revenue forecasting, the scenario builder, SSO and webhooks sit on the Ultimate plan, which is priced by sales.

The price depends on team size

The pricing page shows different per-user figures for different team sizes, and billing changes the amount. Check the number for your own headcount, and whether annual billing applies, before you compare tools.

It is for services businesses

Productive assumes you sell time and projects. Product companies or in-house teams will use only part of it.

Alternatives to compare

For time tracking only, compare Clockify and Toggl. For project management, compare Asana, ClickUp and monday.com. If you already have strong finance tools, check what Productive adds beyond them.
