What it is

Accountant access means your accountant or bookkeeper gets their own login to your books. They can review transactions, correct entries and prepare the year-end figures without receiving your password. Exact Online, Moneybird, QuickBooks and Xero are examples of tools that offer it.

Why it matters

Most small businesses rely on an outside accountant. If the software does not allow proper access, figures are sent by email or spreadsheet, and the chance of errors and delay rises. Giving your accountant a direct login lets them fix problems as they appear and keeps one version of the numbers. It also leaves a clear record of who changed what. If you do all your own bookkeeping and never share files, it matters less, but it becomes important the day you hire help.

What to check

  • Ask whether accountants can be added at no extra charge, and whether they can manage several clients under one login.
  • Check what permission levels exist, for example view only or full edit.
  • Confirm that you can remove access at any time.
  • Ask your own accountant whether they already use the tool and if they like it.
