PayPal vs Productive

PayPal logovsProductive logo
PayPal gets the money in through payment links, invoices and checkout. Productive runs the agency work behind the invoice: projects, time, budgets and profit per client.

The verdict

Most readers will not choose between these. If your trouble is that clients pay late or you have no easy way to take a payment, I'd start with PayPal as a quick way to send links and invoices. If your trouble is that you cannot tell which projects and clients make money, or who has capacity, I'd pick Productive.

An agency can run both. Productive covers the work and the figures. PayPal can be one way a client pays. Do not expect PayPal to forecast your revenue, or Productive to act as a payment provider. Check the fee table for your country before you rely on PayPal, and run Productive's trial on a real project.

Who each is for

PayPal logo

Choose PayPal if…

Pick PayPal if you need a simple, fast way to get paid. You can send a payment link or an invoice without a website, and many customers already trust PayPal. It suits freelancers, small businesses and online shops that want to accept PayPal and card payments without building a custom set-up.

The fee depends on country, method, cross-border payments and volume, so check the fee page. Small orders feel the fixed part most. PayPal can handle subscriptions and invoices, but it is not built for complex billing, so a business with recurring revenue and tax needs should look elsewhere.

Productive logo

Choose Productive if…

Pick Productive if you run an agency, consultancy or IT services firm and sell time. It covers resource planning, Gantt-based project management, time tracking, budgeting, invoicing, expenses and forecasting, so profit per project is a report you can open.

It connects to accounting tools such as QuickBooks and Xero, and to Slack and HubSpot, rather than replacing them.

It is priced per user, and the price depends on team size and plan, so work through your own numbers. It is too much for a team that only needs a task tracker, and it is not the tool to reach for if the problem is taking card payments.
