Notion AI adds agents, meeting notes and search to a Notion workspace you already use. Todoist is a standalone, fast task list. One needs a workspace, the other does not.

The verdict

If your team already runs on Notion and wants agents and meeting notes next to the real project data, pick Notion AI. The value is context, and it is part of the Business plan, so count every seat before you decide.

If you want a fast task list that works without setting up a workspace, pick Todoist.

If you are not on Notion, Notion AI is the wrong purchase, because you would be buying a workspace upgrade for one feature. If you are on Notion, you may not need Todoist at all. I stuck with Notion for task management myself, partly because of its flexibility. For a team with no workspace yet, I'd start with Todoist.

Choose Notion AI if…

Pick Notion AI if Notion is already your system of record. It reads your pages and databases, so an agent can answer questions about a real project instead of a pasted summary. AI Meeting Notes work without a bot joining the call and land on a page.

It is no longer sold as a separate add-on. It comes with the Business and Enterprise plans, and heavier agent use is metered in credits. Notion states that LLM providers keep data for 30 days on non-Enterprise plans, so check that before you switch it on with sensitive client data.

Skip it if you only need a meeting recorder, since a dedicated tool is simpler.

Choose Todoist if…

Pick Todoist if you are a founder, freelancer or small team that wants a quick, reliable task list without a workspace to maintain. Quick Add reads dates and recurrence from plain text, filters build any view, and everything syncs across web, desktop and phones.

Shared projects and assigned tasks cover the question of who is doing what by when. There is a free plan for individuals, and it connects to AI assistants through a hosted MCP server and a REST API.

It stays simple, and that is also the limit. It will not hold documents, databases or meeting notes. If you want one tool for all of that, Notion is the alternative I chose myself.
