ClickUp is a configurable workspace for tasks, docs, goals and time tracking. Todoist is a fast, light task list for individuals and small teams. The choice is how much structure you want to maintain.

The verdict

If you manage many projects, want tasks, docs and hours in one place and have someone to own the setup, pick ClickUp. If you want a quick personal list that a small team can also share, pick Todoist.

Both have a free plan, so test with a real week of work. I ran ClickUp at my own agency for about a year. The visibility was a real gain, but some colleagues found it too much. Todoist stays simple, and once you need time tracking, resource planning or detailed reporting you will feel that limit. My view of Todoist comes from desk research rather than recent use.

Choose ClickUp if…

Pick ClickUp if you run a lean, growing team with many campaigns or client projects and want one configurable workspace. Custom fields, automations and several views let each person see the work in the format they prefer.

Budget time for one owner to build the structure and train the team. Some colleagues found it too much and some pages felt slow in my own use. It also has an API with webhooks and an official MCP server. If your team will not put up with a learning curve, it will not stick.

Choose Todoist if…

Pick Todoist if you are a founder, freelancer or small team that wants a fast, reliable task list without the weight of a project suite. Quick Add, recurring due dates and filters are the core, and it syncs across web, desktop and phones.

Shared projects, assigned tasks and due dates cover light team coordination, and workspaces keep team tasks apart from personal ones. It has a REST API, webhooks and a hosted MCP server. Do not expect dependencies, time tracking or reporting. For those, ClickUp is the better fit.
