Asana vs Todoist

Asana logovsTodoist logo
Asana gives teams structured projects with owners, dates and goals. Todoist is a fast, simple task list for individuals and small teams. Pick Asana for process, Todoist for speed.

The verdict

For a small B2B team that runs shared projects with owners, deadlines and approvals, I would pick Asana. For a founder or freelancer who wants one trusted personal list, or a tiny team with light shared projects, pick Todoist.

Todoist stays simple, and that is also its limit. Once you need time tracking, resource planning or detailed reporting, you will feel it. Asana carries more structure, so it needs more discipline from the team. If people will not keep owners and dates up to date, a nicer tool will not fix that. Both have a free plan, so test with a real project before you commit.

Who each is for

Asana logo

Choose Asana if…

Pick Asana if work follows a process, such as write, review, approve, and each task needs one clear owner. Marketing, operations and agency teams get the most from it, because the shared workspace shows who is doing what by when.

It also has goals, portfolios and an official MCP server. Check which features sit on the plan you would buy before you roll it out. It is a weaker fit for ad hoc work or for teams that need documents next to tasks. A task has one assignee, so a shared deliverable needs linked tasks or subtasks.

Todoist logo

Choose Todoist if…

Pick Todoist if you want a fast, reliable list for personal work and light shared projects. Quick Add with natural-language dates, recurring due dates and filters are the heart of it, and it runs on web, desktop and phones with everything in sync.

Workspaces keep team tasks apart from personal ones, with roles for admins. It has a REST API, webhooks and a hosted MCP server. Set rules for who creates projects and how labels are used, or a shared tool turns into several private ones. My own view comes from desk research rather than recent use.
