How to use Moneybird

This guide gets you from a blank Moneybird account to a books-in-order, send-an-invoice-in-thirty-seconds operation, with the integrations and habits that keep it that way. It is written for the founder or small-team operator running a Dutch or EU business who wants clean accounting without hiring a bookkeeper to do the typing, and who would rather spend an hour setting it up well than a quarter cleaning up a mess.

Getting set up

The decisions you make in the first hour shape everything after, so make them deliberately rather than clicking through the defaults.

Start with your administration itself. Moneybird organises everything under an administration (one legal entity, one set of books), so if you run more than one company, set up a separate administration for each rather than blending them. Get your company details, VAT number, and Chamber of Commerce number right from the outset, because they print on every invoice and feed the VAT return.

Then configure your VAT settings honestly. Tell Moneybird whether you file VAT monthly, quarterly, or yearly, and whether you fall under any special scheme (small-business exemption, reverse-charge for EU B2B). This is the single setting that determines whether your returns come out correct, so do not guess it: match it to what the tax authority actually expects from you.

Build your chart of ledger accounts before you import a single transaction. Moneybird ships with a sensible default set, and the discipline that matters is resisting the urge to invent a new ledger account for every purchase. A lean, well-named set of categories is what makes your profit-and-loss readable later. Decide your categories once, then live with them.

Finally, connect your bank early. The bank link is the spine of the whole system: once transactions flow in automatically, bookkeeping becomes a reconciliation task rather than a data-entry task. Set this up before you start invoicing so your first payments reconcile cleanly.

How to actually use it

The value of Moneybird shows up when you run the workflows in the right order, because each step feeds the next.

Sending invoices is the core. Create your contacts (customers and suppliers) first, set up an invoice template that carries your branding and payment terms, and then sending an invoice becomes a matter of picking the contact, adding the lines, and hitting send. Moneybird can email the invoice directly and include a payment link, which is the difference between getting paid in days versus chasing for weeks.

Reconciliation is the daily or weekly rhythm. Bank transactions arrive automatically through the bank link, and your job is to match each one to an invoice or book it to the right ledger account. Moneybird proposes matches, and over time it learns your patterns, so a backlog that looks daunting clears in minutes once you keep the habit. The trick is cadence: ten minutes a week beats a panicked afternoon before the VAT deadline.

Capturing costs closes the loop. Forward supplier invoices and receipts into Moneybird (by email, upload, or the mobile app), book them against the right ledger account and VAT rate, and they are ready to reconcile against the matching bank payment. Every cost you capture is VAT you reclaim and profit you measure accurately, so treat the inbox as something you clear, not something that piles up.

With invoices out, costs in, and the bank reconciled, the VAT return becomes a review rather than a reconstruction. Moneybird assembles the figures from the bookkeeping you have already done, you check them, and you file.

Power moves

A few habits separate someone who merely uses Moneybird from someone who runs on it.

Lean on recurring invoices for anything subscription-like or retainer-based. Set the schedule once and Moneybird raises and sends the invoice on time, every time, which removes both the admin and the risk of forgetting to bill.

Automate your reconciliation rules. When you find yourself booking the same supplier to the same ledger account every month, create a rule so Moneybird does it for you. A handful of good rules turns reconciliation from a decision-making task into a quick confirmation.

Use payment links and automated reminders together. Putting a one-click payment link on every invoice and letting Moneybird send polite reminders on a schedule is the cheapest cash-flow improvement available, because it shortens the gap between sending and getting paid without you doing anything.

Give your accountant their own access rather than exporting spreadsheets back and forth. Moneybird lets an accountant work inside the same live administration, which means quarter-end is a conversation, not a data dump.

Where it fits your stack

Moneybird is the financial source of truth, so the question is how the rest of your stack feeds it and reads from it.

The bank connection is the most important integration, and it is the one to get solid first. Beyond that, Moneybird connects to payment providers so that online payments reconcile automatically, and it exposes an API plus a webhook system that lets you wire it into the rest of your operation. If your customers buy through a web shop or a checkout, connecting that flow so paid orders become invoices automatically removes a whole category of manual work.

For a growth or ops toolset, think of Moneybird as the layer that turns commercial activity into clean numbers. Your CRM tracks who you are selling to, your billing or subscription tool tracks what they owe, and Moneybird is where that becomes filed, reconciled, VAT-correct accounting. Where a native integration does not exist, the API and webhooks let you bridge through an automation tool, so a closed deal or a captured payment elsewhere can create the invoice here without a human retyping it.

Pitfalls to avoid

The mistakes that bite are almost always habits, not features.

The most common is letting reconciliation pile up. Skip it for a month and you face a wall of unmatched transactions right when a VAT deadline lands. The fix is cadence, not heroics: reconcile little and often.

The second is misconfigured VAT. Setting the wrong filing frequency or the wrong VAT treatment on contacts quietly produces incorrect returns, and you may not notice until the tax authority does. Get the settings right at setup and double-check the VAT rate on any unusual transaction.

The third is ledger-account sprawl. Inventing a new category for every purchase makes your reports unreadable and your reconciliation slow. Keep the chart lean and book consistently.

The fourth is forgetting to capture costs. Every receipt you do not enter is VAT you do not reclaim and a profit figure that overstates how well you are doing. Make cost capture as routine as invoicing.

How to automate Moneybird

Native integrations

Moneybird's own integrations page lists connections for online stores, payment providers, payroll, time tracking, inventory, CRM and point of sale. They are built by partners using the open API. Start with the connector for your shop or payment provider, so invoices and payments post automatically.

API and webhooks

Moneybird has a REST API, version 2, that returns JSON or XML, and it is included in all plans. Sandbox administrations let you test without a subscription. Webhooks notify your application when invoices, contacts or other resources change. Docs also cover creating sales invoices, managing subscriptions and sending invoices through Peppol. An idea: create a draft invoice from a won deal in your CRM and send it when someone approves it.

MCP server

Moneybird ships an official MCP server with two endpoints: read-only and read-write, both authorised with OAuth. Deleting is not supported. Works with Claude Desktop, ChatGPT, Cursor and other remote MCP clients. Start with read-only. An idea: ask your assistant which invoices are overdue and draft the reminder, then send it yourself.

There is also an official command-line tool for scripts and quick exports.

No-code automation
